PRIVATE PILOT FOR PHYSIOTHERAPISTS

One visit. Multiple review-ready outputs.

ClinicaVox is a local-first Windows application built around physiotherapy workflows. From one recorded visit, it can prepare a clinical-note draft and Home Exercise Program, plus a Plan of Care following an Initial Assessment.

Routine processing and storage happen on the clinician’s computer. Every generated output requires clinician review before use.

THE FRAGMENTATION PROBLEM

Less fragmentation around every visit.

Documentation, patient follow-up, home programming, treatment planning, and practice tracking often live in separate places. ClinicaVox brings these workflows together so that information recorded during a visit can support the work that follows.

  1. 01

    Documentation competes with patient-facing time

  2. 02

Follow-up risk is difficult to see across a busy caseload

  3. 03

Practice and patient-planning information becomes scattered

HOW IT WORKS

End the visit once. Review each output.

STEP 01

Start the visit

Select the patient and visit type, then begin recording.

STEP 02

Process locally

When the visit ends, transcription, de-identification, and drafting continue in the background using models on the clinician’s computer.

STEP 03

Review every output

Review and edit the note and supporting materials before copying, downloading, saving, or preparing an email in your own email application.

Processing time varies with visit length and computer hardware. Supporting outputs may be unavailable if their generation fails.

CAPABILITIES

Built around the work physiotherapists already do.

Review-ready clinical notes

Generate structured Initial Assessment and Follow-up/Progress note drafts from the current recorded session. Drafts remain editable, and visible placeholders identify information requiring clinician attention.

  • Initial Assessment and Follow-up/Progress formats
  • Edit before saving or transferring
  • Copy and download options
  • Clinician review remains required

See patients who may be falling off

A configurable follow-up view identifies active patients whose last recorded visit exceeds the clinician’s chosen interval.

  • Most-overdue patients shown first
  • Contact-attempt history
  • Configurable follow-up threshold
  • Graduated, self-discharged, and fall-off/needs-contact statuses

Practice numbers without another spreadsheet

ClinicaVox calculates recorded revenue and estimated clinician take-home using visits recorded in the application and the configured price and percentage split for each service.

  • Date-range reporting
  • Daily, weekly, and monthly grouping
  • Per-clinic breakdown
  • Historical visits retain the service values recorded at the time

These figures support practice visibility and are not accounting, billing, payroll, or tax records.

Plans of Care from the assessment

Following an Initial Assessment, ClinicaVox can generate an editable, patient-facing Plan of Care based on that assessment.

  • Consistent patient-facing structure
  • Treatment goals and planning support
  • Stored with the patient’s records
  • Review, copy, download, or prepare for email

Home programs connected to the session

ClinicaVox can create a Home Exercise Program based on exercises discussed during the session and update the previous program for that patient and body region.

  • Organized by patient and body region
  • Updated programs retained over time
  • Review and edit before use
  • Prepare an email in the clinician’s configured email application

The email action prepares a message in the clinician’s email application. The clinician reviews and sends it.

Local by design

During routine use, recording, transcription, de-identification, drafting, and encrypted database storage take place on the clinician’s computer. Raw audio is deleted after transcription.

  • Local AI models
  • Encrypted local database
  • Routine processing can operate offline after installation and model downloads
  • User-initiated exports, email, updates, and cloud-synced folders are outside this local processing boundary

LOCAL BY DESIGN

Routine clinical processing stays on the clinician’s computer.

Internet access is required for installation, model downloads, and software updates. User-initiated exports, prepared email messages, and operating-system cloud-sync settings are outside ClinicaVox’s local processing boundary.

This website and its Cloudflare-hosted pilot application are online services. They are separate from the clinical application and must never be used to submit patient information.

ClinicaVox currently supports Windows pilot environments. macOS support is planned.

WHO THE PILOT IS FOR

Help shape a local-first clinical workspace.

  • Use a compatible Windows computer, or apply to be considered for future macOS testing
  • Regularly complete Initial Assessment and Follow-up documentation
  • Want clearer follow-up and caseload visibility
  • Are comfortable reviewing all AI-generated output
  • Can provide structured feedback
  • ClinicaVox is pilot-stage software and does not replace clinical judgment

SIX-MONTH PILOT

The software is ClinicaVox. The licence is time-limited.

  • Guided onboarding
  • The same ClinicaVox software under a six-month evaluation licence
  • A start and end date confirmed in the activation email and local licence
  • Testing only within the agreed pilot, privacy, and clinical-safety requirements
  • Reviewing every generated output before use
  • Reporting errors, unclear results, and usability problems
  • Feedback activities agreed during onboarding
  • Software and model changes may be provided during the pilot

Each accepted participant receives a unique licence ID linked to the business information submitted here. Support can use the professional email and licence ID to match an installation to its pilot record. The current build checks expiry locally; it does not contain a remote kill switch.

Availability, platform support, and onboarding timing may vary. Applications are reviewed and admission is not guaranteed.
